Harvest of the Month (HOTM) Procedures
- Approximately one week before the HOTM produce is delivered, the Lead Teacher (LT) and the Food Service Worker (FSW) at participating schools will be sent a Harvest of the Month packet. The packet will include:
- Harvest of the Month Produce Receipt form (replaces the Harvest of the Month Produce Order form)
- Harvest of the Month Educator newsletters
- Harvest of the Month Parent newsletter
- Produce will no longer be ordered from the school sites. Every participant who signed the Intent to Participate will automatically receive produce each month. There will even be a case of produce for the parent center representative to use for tasting and sampling. Each school will be on a predetermined, regular delivery schedule.
- When the Harvest of the Month produce arrives, the FSW will compare the quantity of cases against the number of names on the Harvest of the Month Produce Receipt form which they will receive in their monthly packet. This is a courtesy copy which the FSW will sign, date and then file, after receiving the produce.
- The FSW will receive a separate invoice from Gold Star upon delivery. After checking the physical number of cases delivered against the invoice, they will sign and file along with the Harvest of the Month Produce Receipt form.
- If there are any quality issues or discrepancies in number of cases, call Abyz Dayrit at (818) 609-2550 or email abyz.dayrit@lausd.net within 24 hours.
- The FSW will then inform the lead teacher that the produce has arrived. The lead teacher will handle the distribution of the produce.
- The Lead Teacher will obtain signatures from the participants on the Harvest of the Month Produce Receipt Form as the produce is disseminated.
- The Lead Teacher, not the Food Service Worker, will then fax this completed form to the Network office at 818-609-2580 and keep a copy with their Network records to satisfy state audit requirements.
Reminders:
- Only certificated staff who signed the Intent to Participate or added their names using the Revised Intent to Participate will be listed on the Produce Receipt form.
- The Network point person and Area Food Services Supervisors may randomly review your HOTM files.
- HOTM produce is for educational purposes only. HOTM produce must stay on school premises only. Do not send home the HOTM produce.
